Getting paid faster: invoices and statements customers actually read

2026-09-24 · 4 min read

Late payment is rarely about unwilling customers. It is usually about an invoice that is unclear, late, or lost in a chat thread.

Send it the same day

The best time to invoice is while the trip is fresh. A customer who enjoyed the day is far more likely to pay quickly than one who receives a bill three weeks later.

Make it easy to read

Your name and contact details at the top, the trip described in plain words, the total and the tax clearly separate, and your bank details at the bottom. If a customer has to ask a question to pay, the invoice is not finished.

Quote first, invoice second

For charters, send a quotation with the price and what is included. When the customer says yes, the quotation becomes the invoice. No retyping, no mistakes.

Use statements for regular customers

If a resort or agent books you often, send a monthly statement that lists every trip and what is still unpaid. It is much easier to chase one clear page than ten messages.

Invoices, quotations and customer statements are built into Harborline, and you can send them as a PDF straight from your phone.
